Process

STAGE 1: Publication of the Call

The application process starts with the announcement of the Call. Online application form is open for the whole duration of the Call (ca. 6 weeks). The application form will be closed at 12 a.m. local time (GMT+1) on the last day of the closing date of the Call. Simultaneously, applicants can submit their documents using the following e-mail address: names|names.edu.pl| |names|names.edu.pl.

The NaMeS project provides for the three Calls:
1st Call  - 1st November, 2016
2nd Call - 1st March, 2017
3rd Call  - 15th June, 2017

* The subsequent Calls will start under the provision that at least one of the PhD projects will remain unassigned.
STAGE 2: Preparation of the application A candidate for PhD studies should become closely acquainted with the required documents set out in the Application Documents section.


The online application form requires giving the following information:

  • personal data (incl. valid e-mail address)
  • declaration that the candidate is an Early-Stage researcher fulfilling Mobility criterion
  • consent to the processing of the candidate's personal data for the purposes of the competition
  • information about knowledge of English language
  • selection of up to 2 PhD projects he/she would like to carry out.
    CAUTION: If the candidate expresses interest in 2 PhD projects he/she should submit the motivational letter explaining reason for the choice of each PhD project, or 2 separate letters.

Additionally, the applicant is requested to enclose the documents listed under: Application Documents.

STAGE 3: Submission of the application

The candidate applies for admission to the PhD studies under “Interdisciplinary NAnoscience School: from phenoMEnology to applicationS” via the NaMeS website – Apply or using the following e-mail address: names|names.edu.pl| |names|names.edu.pl. After submitting the application form and attaching all necessary documents, the applicant will receive confirmation of their submission.

Online application form will automatically be closed at 12 a.m. local time (GMT+1) on the last day for submitting applications.

All correspondence (including notifications of the results) with the candidates will take place solely by e-mail. The candidate shall ensure that provided e-mail address is correct and that e-mail is checked regularly (including spam folder).

STAGE 4 : Evaluation of the submitted documents

The documents specified under the link: Application Documents can be a subject of supplements in case of any doubts of consistency with the criteria. In this case, the candidate is requested to deliver lacking documents or necessary information within the period not longer than 5 days.

Only applications fulfilling eligibility criteria are liable to further evaluation against the substantial entry criteria.

STAGE 5: Interviews with top-scoring applicants For each PhD project specified in the Call up to 5 candidates who obtained top scorings against substantial entry criteria are invited for an interview.

Candidates who expressed their interest in 2 PhD projects may be requested to take part in two separate interviews. In this case, scores are awarded separately in reference to each PhD project.

The interview can be carried out directly, or with the use of electronic communication devices (e.g. Skype).
On the interview the candidates are evaluated against the other substantial criteria.

Only one candidate (with the highest score) shall be appointed to a given PhD project, provided that his/her score obtained at the interview is not below 60% of the maximal possible result. If 2 or more best candidates receive the same score, the scoring within the criterion “Specialized knowledge of scientific domain(s) relevant to the chosen NaMeS PhD project or, subsequently – “Previous research experience, applicable in the targeted PhD project” is decisive.

A candidate winning the appointment to 2 PhD projects has to choose a single project, and a person with the next highest scoring is then selected for the remaining project.
STAGE 6: Ranking list After the interviews, a preliminary ranking list, separately for each PhD project is prepared and candidates are informed of their assessment (feedback).

Final ranking lists with names of candidates appointed to a specific PhD project are announced after closing appeal proceedings.
STAGE 7: Successful candidates The Selection Committee informs the successful candidates on their positive assessment and admission to the PhD studies under NaMeS (feedback).

The successful candidate should begin the PhD study within two months from the date of their admission. However, exceptionally, IPC may allow for additional time necessary to complete current activities by the successful candidate before moving to IPC. In this case, the date of commencement of PhD studies will be set individually.

Appeal Procedure

The candidate may appeal against the decision of the Selection Committee to the Director of IPC within 14 days from the date of delivery of the decision. The appeal may be based only on an indication of breaching requirements and procedure for admission to the doctoral studies, as referred to in art. 196 clause 2 of the Act of 27th July, 2005 Law on Higher Education (consolidated text - Journal of Laws of 2016, No. 1501). The decision of the Institute’s Director is final.
